Hello! We are Jahannie Torres-Rodríguez, Senior Data Intelligence Analyst and Grace Wang, Data Intelligence Analyst from VentureWell’s Data Intelligence (DI) team. As organizations start to grow and diversify their audiences, their data needs expand as well. Manual processes that were initially sufficient to meet the demands at the time may no longer support the organization’s scale. Reducing this type of work not only boosts productivity but also ensures consistency and facilitates capacity growth. One of the ways we implement automations at VentureWell is through Salesforce flows. Flows are a tool that allows users to create, manage, and run automations within Salesforce. Some of the processes that can be automated are:
Consider flows as if they were a recipe! Picture yourself spending weeks perfecting a recipe by experimenting with various ingredients, measurements, and steps. Now, think about having a machine that can store those conditions and replicate the desired outcome automatically. That’s how Salesforce Flows operate—transforming your refined processes into automated solutions.
Flows are built using a visual interface and do not require written code. They’re made up of figures and connecting arrows that determine an action path. For example, in the diagram below, each figure represents a condition being evaluated, a decision being made, or an action.

At VentureWell, one of the ways we utilize Salesforce Flows is to automate the distribution of pre-course, post-course, longitudinal surveys, and survey reminders to our program participants. These flows are designed to evaluate conditions such as participant attendance status, survey completion, and survey closing date. Scaling this process for hundreds of programs would not have been possible without significantly increasing our resources. However, with Salesforce Flows, we have successfully scaled with hundreds of emails sometimes going out in a single day. This streamlined process not only saves time but also ensures that our infrastructure adapts to our organizational growth!
